About the job

To operate as the Onboarding Administrator for TAU Klipspruit by providing effective and efficient onboarding support to employees and contractors. The role is accountable for scheduling, coordinating, executing and administering all employee and contractor onboarding activities in the training plan within stipulated timeframes to ensure legal compliance.

The role requires attention to detail, the ability to communicate clearly, build and maintain functional relationships and liaison with employees and supervisors across multiple disciplines. Key work entails Planning, Scheduling, Coordinating, Executing, Monitoring, Reporting and Liaising in line with Training Plan.

Role & Output:

  • Understand the onboarding process
  • Ensure that medical examinations, inductions and mandatory training for employees/contractors are scheduled and communicated timeously / before expiry
  • Ensure that relevant medical documents are lodged with the relevant stakeholders and captured on required reporting systems (HR Manage / HSEC, etc)
  • Plan, Schedule, Coordinate, Execute and communicate monthly induction bookings for all newly appointed employees / contractors (incl renewals)
  • Ensure proper completion of all employee sign-on / onboarding documentation (ie. Sign/on check list, POPI, ID, Qualifications, etc)
  • Timeous capturing and uploading of all employee information into the relevant information systems
  • Upon completion of mandatory processes, facilitate the issuing of access cards to employees
  • Daily filing of all HR / Training related documentation in line with ISO standards
  • Assist with the preparation of monthly reporting
  • Clear and timeous communication to all stakeholders on the planned schedule
  • Maintain positive and effective interaction with all stakeholder teams to deliver effective and efficient services
  • Support the line managers to achieve and maintain legal compliance
  • Report problems and or bottlenecks to supervisor
  • Populated TAU Training Matrix
  • Proactive scheduling of all mandatory onboarding and training processes
  • Up to date filing and data capturing
  • Reporting
  • Regular Communication and ensuring good customer relations

 

Qualifications:

  • Grade 12 or Relevant National Certificate (National Diploma advantageous)
  • Valid Red Ticket
  • ETDP level 1 (completed)

 

Experience & Skills: 

  • Minimum of 3 years experience as an Administrator
  • ISO 9001 experience advantageous
  • Planning / Scheduling / Coordinating experience
  • Must be a team player
  • Strong Communicator
  • Detail oriented / Attention to detail
  • Able to work in a pressurised environment
  • Computer Literate (advance MS Office skills advantageous)
  • Previous onboarding experience (advantageous)
  • Office Administration and Filing
